Invite your team and clients

An invitation is an email with a link. Adding someone in Notion gives them access without sending one.

Invite your team

  1. Open Settings → People → Workspace members.
  2. Enter the person’s email and choose Link admin or Link user.
  3. For a Link user, choose All clients or Selected clients, then send the invitation.

Free includes one workspace member. On paid plans every Link admin and Link user is a seat; see Plans and billing.

Invite a client

  1. Open the client or project and choose Invite, or open Settings → People → Client access.
  2. Enter the person’s work email and choose Client admin or Client user.
  3. For a client user, choose All projects or Selected projects, then send the invitation.

The invitation comes from hello@using.link, or from your name and brand on Business and Enterprise. Its link works for 7 days; resend it from the same place if it runs out.

Only Link admins can make someone a client admin. Client admins can invite and remove the client users of their own client.

The client’s email domain

The first person you invite to a client sets its email domain, such as acme.com. Later invitations to that client use the same domain. Personal addresses such as Gmail or iCloud can’t be a client’s domain, and the domain can’t change while the client has people.

Invite someone outside the domain

Anyone on a client can invite an External: a freelancer or partner with another email domain. An external sees only projects the person who invited them can see, can’t invite anyone else and doesn’t count towards the Free plan’s client users.

People added in Notion

A row added to the People database gives that person access on the next sync, but sends no email. Settings → People shows them as Added via Notion until someone invites them.

Let a client’s team sign in from a public page

When you publish a client or project page you can turn on Allow people from the client domain to sign in. Anyone with an email at exactly that domain can then sign in from the page with a code. They become a client user of that project, or of all the client’s projects when they sign in on the client page.

Limits on Free

Free includes up to three client users. On paid plans there is no limit, and client members can invite their own teammates.

  • Share a project with a client Invite the client, then send them the project’s Link. Private work stays private.
